2. Who Uses RallyBoard
RallyBoard serves association members and staff, primarily located in the United States. Our services are not intended for individuals under the age of 18, and we do not knowingly collect data from minors.
3. Information We Collect
We collect the following types of data:
Personal Information: Name, email address, job title, organization, profile photo, and scheduling preferences.
Demographic Information: Occasionally collected via matching surveys (e.g., gender, age group), if requested by your association.
Automatically Collected Data: IP address, device type, browser type, and cookies to help us understand how users interact with our platform.
3A. Meeting Recording and Transcription
Sessions hosted through the RallyBoard platform may be recorded and transcribed using third-party tools, including Zoom. By participating in a meeting hosted on or through the RallyBoard platform, you acknowledge and consent to the recording and transcription of that session.
Transcripts may be analyzed using automated tools, including artificial intelligence and natural language processing, to surface insights that are shared with your Partner organization. Participants who do not wish to be recorded may disable recording via in-meeting controls. Where required by applicable law, additional notice or consent mechanisms will be provided prior to the start of a recorded session.

We use your data to:
Match you with relevant peers
Personalize your experience
Send timely nudges and engagement reminders
Provide workforce analytics to your association
Improve and optimize our platform
We do not currently use engagement data for sponsor marketing purposes. If this changes, we will update this policy and provide notice prior to implementation.
5. Sharing and Third Parties
We use third-party service providers to operate the platform, including:
Supabase and Vercel for hosting and platform infrastructure
Zoom Video Communications, Inc. for meeting hosting, recording, and transcription
AI tools (e.g., Claude, ChatGPT) to enhance personalization and analysis
These providers act as subprocessors of data collected through the platform and are subject to their own terms of service and privacy policies. RallyBoard takes reasonable steps to ensure that subprocessors handle data in a manner consistent with this Policy and applicable law.
We do not sell your personal data. We only share it as necessary to provide our services or comply with legal obligations.
6. Data Retention and Your Rights
We retain your information for the duration of your association's active partnership with RallyBoard. Upon termination of a Partner agreement, User Content is deleted, by request, within 30 days unless retention is required by law. Meeting recordings and transcripts are retained for the duration of the applicable Partner agreement, unless a shorter retention period is specified in the Partner agreement or requested by an authorized Account Administrator.

Ask for your data to be corrected or deleted

7. International Users and GDPR
Although we are a U.S.-based company, RallyBoard may have users from the European Union. For those users:
